These Terms and Conditions outline the agreement between Olive & Plum Limited ("we," "us," or "our") and any individual or entity ("you" or "participant") who books an art retreat with us. By booking, you agree to these terms.

1. Booking and Payment

1.1 Booking Confirmation

  • A non-refundable deposit is required at the time of booking to secure your place.

  • The remaining balance is due 180 days before departure and is also non-refundable, except in the cases outlined in Section 2.3.

1.2 Retreat Guarantee & Travel Arrangements (IMPORTANT)The retreat is only confirmed once the required minimum number of participants is met. You will receive written confirmation once this happens.

  • Do not book flights, accommodation, or other travel plans until you receive written confirmation from us that the retreat is guaranteed.

  • Our responsibility is limited to the retreat package as described in your booking. Flights, accommodation, and other travel costs are not covered.

  • We strongly recommend purchasing comprehensive travel insurance to cover any unexpected events.

  • If we cannot guarantee the retreat, you can either:

- Transfer to another guaranteed retreat, OR

- Receive a full refund of all money paid.

  • Lundy Island Bookings: Travel to and from Lundy Island is via boat or helicopter, both of which are weather dependent. In the event that travel is not possible due to weather conditions, Olive & Plum will arrange alternative accommodation until travel is possible but the workshop itinerary may change because of this delay.

 

1.3 Payment Methods

  • Payments are processed securely via our website using the WeTravel booking platform.

  • Payment can be made via credit/debit card or bank transfer.

  • We do not charge credit card fees, but a booking fee may apply, which will be displayed at checkout.

 

1.4 Late Bookings

  • If booking within 180 days of the retreat start date, the full amount is payable immediately.

  • No refunds will be issued for participant cancellations as per Section 2.1.

 

2. Cancellations and Refunds

2.1 Cancellation by Participant

  • The deposit is non-refundable.

  • The final balance must be paid 180 days before departure and is non-refundable.

  • Under EU law, you may transfer your booking to someone else if you cannot attend. An administration fee applies.

  • We strongly recommend travel insurance to cover cancellations due to personal reasons, illness, or unforeseen events.

 

2.2 Cancellation by Us

  • We may cancel a retreat due to:

- Insufficient participants: If the retreat does not meet the required number, we will notify you as soon as possible.

- Force Majeure: Unavoidable events beyond our control (e.g., natural disasters, pandemics, political unrest, travel bans).

  • If we cancel, you can:

- Transfer to another guaranteed retreat, OR

-  Receive a full refund of all money paid.

  • If the cancellation is due to force majeure, we will refund your payments as required by EU Package Travel Regulations but will not compensate for additional costs like flights or accommodation.

 

2.3 Refund & Transfer Options

  • Full refund: If we cancel due to insufficient participation or force majeure.

  • Transfer to another retreat: Subject to availability and at no extra charge.

  • Future credit: Use for a later retreat (valid for a specified period).

  • No compensation for additional travel costs—travel insurance is strongly recommended.

 

2.4 Limitations of Liability

We are not responsible for additional expenses like:

  • Flights, hotels, or transfers.

  • Visa or vaccination fees.

  • Non-refundable travel insurance costs.

 

2.5 Force Majeure

  • If an event beyond our control occurs, we will:

- Notify participants as soon as possible.

- Offer refunds or alternative retreat options.

  • We are not liable for losses due to force majeure.

 

2.6 Artist Availability & Substitution

  • If an advertised artist becomes unavailable due to unforeseen circumstances, we will provide a suitable replacement.

  • Substitutions do not qualify for a cancellation or refund.

 

3. What’s Included & Excluded

3.1 Included in Your Retreat

  • Accommodation as per itinerary

  • Meals as per itinerary

  • Workshops & instruction

  • Local transfers at designated times

 

3.2 Not Included

  • Airfare

  • Transportation outside designated transfers

  • Art materials

  • Travel insurance

  • Personal expenses & optional activities

  • Tips 

 

3.3 Excursions & Activities

  • Any additional activities booked separately are not our responsibility.

 

4. Your Responsibilities

4.1 Travel Documents

  • You are responsible for ensuring that your passport is valid for at least six months beyond your planned return date, as required by many countries (please check the requirements of the country you’re travelling to on booking to make sure you comply).

  • You must obtain any necessary visas or travel authorisations in advance and comply with entry requirements specific to your destination.

  • It is your responsibility to check and comply with any health and vaccination requirements for your destination, including any mandatory vaccines or medical certificates.

  • Failure to secure the appropriate travel documents may result in being denied boarding or entry to your destination, and Olive & Plum Limited cannot be held liable for any losses, costs, or disruptions resulting from non-compliance.

 

4.2 Behaviour

  • You must act respectfully toward fellow participants and staff. Disruptive behaviour may result in removal from the retreat without a refund.

 

4.3 Health & Safety

  • You must declare any medical conditions, dietary requirements, and allergies at the time of booking and update us if anything changes prior to the retreat.

  • We cannot guarantee an allergen-free environment due to the small size of our venues and kitchens.

  • Carry necessary medications and insurance coverage.

 

4.4 Arrival Delays

  • We are not responsible for delays affecting your arrival. No refunds for missed retreat portions.

 

5. Changes to the Itinerary

  • We reserve the right to adjust the itinerary due to unforeseen circumstances.

  • No refunds for minor changes.

 

6. Liability & Waiver

  • We are responsible for ensuring that all services included in your retreat package are delivered as described. If any element of the retreat fails due to our fault or that of our suppliers, we will take reasonable steps to resolve the issue.

  • Excursions and Third-Party Activities: Any excursions, tours, or activities that are not included as part of the original package and are booked separately (either through us or directly with a third party) do not form part of your contracted retreat with Olive & Plum Limited. If you choose to participate in such activities, your contract is directly with the provider, and we are not responsible for their performance, safety, or any associated incidents.

  • Personal Responsibility: Participation in any retreat activities, including excursions, is at your own risk. We are not liable for personal injury, illness, loss, or damage unless caused by negligence on our part.

  • Insurance Requirement: All participants must purchase their own comprehensive travel insurance, covering medical emergencies, cancellations, and adventure activities where applicable.

 

6.1 Excursions and Additional Activities Clause (if applicable)

  • Any additional excursions or activities not explicitly included in your retreat package are arranged by independent providers. We do not own, operate, or control these services and therefore cannot accept liability for their performance. Any claim related to these excursions must be directed to the service provider.

 

7. Intellectual Property

  • Retreat content, workshop materials and media are our property. You may not use them for commercial purposes.

 

8. Privacy Policy

· We only collect information necessary for your booking.

· Your data will not be shared without your consent.

 

9. Governing Law

  • This agreement is governed by English law.

  • Any disputes will be handled in the courts of England and Wales.

 

10. Travel Insurance Requirement

  • You must purchase comprehensive travel insurance covering medical emergencies, cancellations and trip interruptions.

 

By booking a retreat with Olive & Plum Limited, you confirm that you have read, understood and agreed to these Terms and Conditions.
